Overview
myTimecard is a workforce time-tracking app: employees clock in and out, and their employer manages the business, its employees, and their time records. Because timekeeping and payroll inherently involve personal and location information, this policy explains what the app processes, why, and how it is protected.
Who controls your data. The business that invites you to myTimecard is responsible for the employee records it creates and how it uses your time and location data (it is the "controller"). Liquid Steam provides and operates the myTimecard software and servers on that business's behalf (as the "processor"). If you are an employee with questions about your data, contact your employer first.
Information We Process
To provide the service, myTimecard processes:
- Employee profile information entered by your employer, such as your name, email address, phone number, mailing address, pay rate, overtime rate, pay frequency, job title, and team or project assignments.
- Device pairing information. When you pair a device, the app generates a cryptographic key on the device and sends only the public half to the server, along with basic device details (a device name and platform, e.g. "iPhone" or "Web") so an administrator can recognize which device is yours.
- Timeclock records — your clock-in and clock-out times, and the location captured at those events and during the shift (see below).
- Basic usage activity — a log of events such as when the app is opened and which screens or tabs are used on a device, to operate and support the service.
myTimecard does not use advertising identifiers, does not track you across other companies' apps or websites, and does not sell your personal information.
Location
With your permission, myTimecard records your device's location while you are clocked in, so your employer can associate a work location with each shift. On phones this uses background ("Allow all the time") location so the shift can be recorded even when the app is not in the foreground.
Location is only collected between clock-in and clock-out. The app does not track your location when you are clocked out, and it cannot recover where a device was before it began recording. Granting location access is a device permission you control: you can deny or revoke it at any time in your device settings, though clocking in may be unavailable until the required access is granted, because location is part of the shift record.
On-Device Storage & Security
Your device's private pairing key is stored in the platform keystore/keychain (or encrypted storage on the web) and never leaves your device. Every time-sensitive request the app makes is signed with that key, so the server can verify the device without any shared password. If location points can't be uploaded immediately, they are queued in secure on-device storage until they can be sent.
How Information Is Used
Information is used to:
- record work time and calculate weekly and monthly totals from an employee's pay rate;
- associate a work location with each shift;
- let administrators manage their business, employees, devices, and invites; and
- operate, secure, and support the app.
Who Can See It
Employee records, time entries, and shift locations are visible to the owners and administrators of the business you belong to, through the app's admin tools. We do not sell personal information and do not share it except as needed to run the service (for example, hosting infrastructure) or as required by law.
Retention
Time records and employee information are retained for as long as the business keeps them in myTimecard, consistent with its own recordkeeping needs and obligations. An administrator can archive or remove employees, and a paired device can be removed so it can no longer log in.
Children's Privacy
myTimecard is a workplace tool intended for employers and their employees. It is not directed to children and is not intended for anyone who is not part of a participating business.
A Note for Businesses
Businesses that use myTimecard are responsible for collecting and using their employees' information lawfully, including providing any notices and honoring any rights required in their jurisdiction. myTimecard gives you the tools to manage that data; how you use them is up to you.
